Privacy Policy
This policy explains what Dental Autopilot collects, why, and what we do and do not do with it. It is specific about the Google, YouTube and Meta data the product touches.

What the service does
Dental Autopilot is an AI marketing assistant for dental and orthodontic practices. Its assistant, Wego, measures how each office appears in Google search and maps, drafts and sends replies to Google reviews, writes and schedules posts to the practice’s own Google Business Profile, Instagram, Facebook and YouTube accounts, suggests and makes approved changes to the practice’s website, and reports results. Anything new goes live only after the practice approves it or turns on automatic handling for that kind of task.
Information we collect
Information you give us
- Your email address, and your name if you provide one.
- Your practice details: business name, website, office addresses, phone numbers, doctors and services, Google Business Profile identifiers, and keywords you choose to track.
- Posts, captions, photos and videos you upload, and messages you send to Wego.
- Your settings, such as which review ratings Wego answers, reply tone and what Wego may do on its own.
- Billing information, which is collected and stored by Stripe. We never see or store your full card number.
Information we collect for you
- Search result positions, map rankings, AI search mentions, competitor listings and website crawl results, gathered from publicly available sources through our data provider.
- Basic usage records: sign-ins, tasks run, approvals given and the AI allowance used.
Information stored on your device
The app keeps your sign-in session in your browser so you stay signed in. We do not use advertising or tracking cookies.
Patient information
Dental Autopilot is a marketing tool, not a patient record system. Review replies are written never to confirm that a reviewer is a patient and never to mention treatment. Only upload patient photos, names or stories when you hold the patient’s written consent to use them in marketing.
Google user data
Connecting any Google service is optional. Dental Autopilot’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
What we request and why
- Google Search Console, read only: clicks, impressions, click-through rate and average position for your website.
- Google Analytics, read only: aggregate traffic and contact figures for the same website.
- Google Business Profile: to read the reviews on the profiles you connect, post the replies and updates you approve or have set to send, and read profile performance. We do not change any other part of your profile without your approval.
- YouTube: see the YouTube section below.
What we do with it
- Data is used only to provide the features you turned on, for the account that connected it.
- We do not sell it, rent it, or share it with advertisers or data brokers.
- We do not use it to train machine learning or artificial intelligence models, whether our own or anyone else’s.
- No person at WGO Digital Media LLC reads your Google data, except where you ask us to help with a support problem, where the law requires it, or where it is necessary to investigate a security incident.
YouTube
Dental Autopilot uses YouTube API Services. If you connect a YouTube channel, Dental Autopilot can upload the videos you schedule and approve, set their title, description and tags, and read the channel’s name and public statistics. By connecting a YouTube channel you agree to be bound by the YouTube Terms of Service, and Google’s handling of your information is described in the Google Privacy Policy. You can remove access at any time in the app or from your Google security settings.
Instagram and Facebook
For accounts you connect through Meta, Dental Autopilot publishes the posts, reels and stories you schedule and approve to the Instagram account and Facebook Page you connect, and reads post and account insights to show results. You can disconnect in the app or remove access in your Meta or Instagram settings at any time.
Connection partner
Some social and Google Business Profile connections are made through our connection partner, bundle.social. When you connect an account this way, the platform’s permission screen names bundle.social, and bundle.social holds the access needed to publish what you approve and read your reviews and results. It acts only on our instructions for your account and does not receive your Google Search Console or Analytics data.
Your website
If you install the Dental Autopilot plugin or host your website with us, Wego can read and edit your website’s pages, posts, images and settings to make the changes you approve. Every change is logged and can be undone. If you remove the plugin or move your website, that access ends.
What we store and for how long
- Account and practice details, settings and history: while your account is open.
- Reports and past measurements: while your account is open, so progress can be compared over time.
- Access tokens for connected accounts: until you disconnect or your account closes. Disconnecting deletes them.
- Uploaded photos and videos for posts: deleted within 30 days after they are posted.
- Billing records: as long as tax and accounting law requires, typically seven years.
When you close your account we delete your account data, practices, reports and tokens within 30 days, except records we are legally required to keep.
Information about other businesses
Reports include public information about practices that compete with yours, such as their Google listing, review counts, ratings and ranking positions. All of it comes from public search results. We do not access any private account belonging to those businesses and we do not contact them.
How we share information
We do not sell your information. We share it only with the service providers needed to run the product:
- DataForSEO receives the domains, keywords and business identifiers needed to gather search data.
- bundle.social connects and publishes to the social and Google Business Profile accounts you link through it.
- Anthropic processes text to draft review replies, captions, website content and answers to your messages. It does not receive your account tokens.
- Stripe handles payments and receives your billing details directly.
- Our hosting providers store the application, its database and, where you choose WGO hosting, your website.
We may also disclose information if required by law, or to protect the rights and safety of our users or the public.
Security
Data is encrypted in transit, and access tokens are encrypted at rest. Access to production systems is limited to people who need it to run the service. No system is perfectly secure, and we will tell you promptly if a breach affects your information.
Your rights
You can ask us to show you what we hold about you, correct it, delete it, or send you a copy. Write to accounts@whitegloveorthodontist.com and we will respond within 30 days. California residents have specific rights under the CCPA, including the right to know and the right to delete. We do not sell personal information as that term is defined under the CCPA.
Children
Dental Autopilot is a business tool and is not directed at anyone under 18. We do not knowingly collect information from children.
Changes
If we change this policy in a way that materially affects how we handle your information, we will email you before it takes effect. The date at the top always shows the current version.
